 Job Description

As the Operations Coordinator at our Bellmawr, NJ site, you will be responsible for providing support on a variety of operations and administrative duties to the operations team.

Job Duties and Responsibilities

Assist in managing the day to day operations of the Operations Team

Serving as the point of contact for general inquiries and forward to the appropriate person or department

Track, gather, maintain and compile market or internal information, and generate reports

Manages calendars, responds to and sends out meeting requests, and ensures schedules are kept up-to-date and accurate

Resolves meeting conflicts and handles reschedules to accommodate time sensitive requests

Keeps managers informed of upcoming appointments and deadlines

Creation or organizational charts and organizational inventory

Distributes materials, books meeting rooms, takes meeting minutes, and distribute follow up materials if applicable

Assists the operations team in completing expense reports and follows up on reimbursements if necessary

Manages incoming correspondence and responds accordingly (post, email, phone etc.)

Creates and maintains lists, files and databases to enhance efficiency and productivity

Organizes and maintains information that may be sensitive, confidential or technical in nature

Responds to routine internal and external queries concerning guidelines, procedures or operations. Escalates issues and redirects to appropriate point of contact

Data Entry

Proactively taking part in departmental meetings to ensure up to date communication is provided to the team

Other duties as required/needed to meet goals of company


Bachelor’s Degree, plus one to three years’ experience in a similar role

Expert user in Excel and Microsoft Package (Word, PowerPoint, PivotTables, etc.)

You will regard safety as a core value; serve as role model for other employees and encourage adherence to safety practices, policies and procedures. 

You will need to have strong service and quality focus; address issues effectively when problems arise and take initiative to understand root cause, then communicate / education team in a timely manner. 

You will need be able and willing to work overtime, including short-notice requests. 

You will be required show proficiency with computer applications 

Language Skills

Must be able to communicate clearly and effectively, both verbally and in writing. Must display professional telephone etiquette and be able to interact and communicate effectively with individuals at all levels of the organization. Ability to effectively present information in one on-one and small group situations to customers, clients, and other employees of the organization.

 Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability

Ability to apply common sense understanding to carry our instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
